SEARIC Summit 2026 replaces the friction of manual event registration for hundreds of international delegates with a fully automated, narrative-driven digital experience. By transforming a standard form-fill into an immersive journey—complete with AI-generated avatars and automated travel logistics—the platform eliminates administrative overhead while securing high-stakes financial transactions in real-time. It is a transition from fragile spreadsheets to a high-fidelity portal where every registration produces a production-ready boarding pass in seconds.
SEARIC Summit 2026 is an end-to-end delegate management ecosystem built for the South-East Asia Rotaract Institute Conference. The system replaces manual registration workflows with a multi-surface platform comprising a high-experience public portal and a role-based admin dashboard for real-time revenue tracking and slot management.
To handle the financial and logistical demands of an international summit, I prioritized system reliability and cost-efficiency. I integrated the PAYable IPG for localized LKR transactions, implementing a dual-path reliability architecture—combining browser-side polling with server-to-server callbacks—to ensure zero transaction loss during high-concurrency periods. For the AI pipeline, I opted for self-hosted MinIO storage on a private VPS to bypass the egress fees typically associated with S3, supporting the generation and storage of thousands of high-resolution delegate assets without scaling costs.
Automated Document Pipeline: Converts SVG templates into 1200px PNG boarding passes using
text-to-svgpath rendering, ensuring high-fidelity font output regardless of server-side environment constraints.Cryptographic Payment Security: Utilizes HMAC-SHA256 session tokens and SHA-512 signatures to bind browser returns to specific orders, preventing unauthorized access or forged registration attempts.
Experience-Driven AI Flow: Processes raw delegate photos into background-removed avatars and illustrated travel scenes via Replicate AI, fully integrated into the 4-step registration wizard. * Real-time Slot Management: Implements automated deactivation of conference packages at the database level once capacity limits are hit or deadlines pass, preventing overselling via server-side guards.
Edge-Level RBAC: Employs Next.js middleware and Supabase SSR sessions to enforce three-tier authorization (User, Admin, Superuser) at the edge, protecting sensitive data before the page even renders.
I designed the UI/UX for every surface from scratch, focusing on making the registration process feel like an "Experience" rather than a task. This includes a high-fidelity landing sequence featuring WebGL globes, GSAP-orchestrated parallax, and synchronized audio, transitioning into a clean, functional admin suite designed for rapid data export and management.
The platform was developed using agentic AI workflows under structured technical direction to maintain architectural consistency across the codebase. The system is currently live and VPS-hosted, serving as the official registration gateway for the international Rotaract delegation.
